Pruvelo ("we," "our," or "us") is committed to protecting the privacy of children, families, and childcare providers. This Privacy Policy explains how we collect, use, store, and protect information when you use our childcare management platform.
2. Information We Collect
2.1 Child Information
- Name, date of birth, and emergency contact information
- Medical information, allergies, and immunization records
- Authorized pickup persons and custody information
- Attendance records and daily activity logs
- Photos (with parental consent only)
2.2 Staff Information
- Name, contact information, and employment details
- Certification and training records
- Background check information
- Time and attendance records
2.3 Parent/Guardian Information
- Name, email address, and phone number
- Billing contact information for your center's Pruvelo software subscription (card payments processed by Stripe — Pruvelo does not collect family tuition on behalf of centers)
- Communication preferences
3. How We Use Information
- To provide childcare management services
- To ensure child safety and authorized pickup verification
- To maintain required state licensing records
- To facilitate communication between parents and staff
- To bill your center for Pruvelo software access (Stripe)
- To generate compliance reports for inspections
4. Analytics and Error Monitoring
We use product analytics (PostHog) to understand feature usage and improve the platform. We use error monitoring (Sentry) to detect and fix failures. These tools receive operational metadata (e.g., page, event name, error type) — not child medical details, message bodies, or payment card numbers. See our Cookie Policy for cookie-related details.
5. Subprocessors
We rely on the following categories of service providers to operate Pruvelo:
- Supabase — database, authentication, file storage, and realtime
- Vercel — application hosting
- Stripe — Pruvelo platform subscription checkout and billing
- PostHog — product analytics
- Sentry — error and performance monitoring
- Upstash — rate limiting and operational caching (when configured)
Each provider processes data only as needed to deliver its service. Centers remain the data controller for child and family records entered into Pruvelo.
6. Inspection Share Links
Directors may generate time-limited, token-based links to share specific operational records with licensing reviewers. These links grant read-only access to the records selected — not full center administration. Link recipients should treat shared content as confidential.
7. Free Demo
Our marketing demo uses synthetic sample data in an isolated environment. Demo data is not mixed with production center records. Do not enter real child PII in the public demo unless you are evaluating with explicit consent from your organization.
8. Data Security
Product traffic uses HTTPS (TLS). Data at rest is encrypted by our managed data platform (Supabase). Access is restricted by role (director, teacher, parent) with policies that keep each licensed center's data separate. We do not sell personal information.
9. Data Retention
We retain records as required by state childcare licensing regulations, typically 3-7 years depending on your state. Parents can request deletion of their child's data after the child leaves the center, subject to state record retention requirements.
10. Your Rights
- Access: View your personal information and your child's records
- Correction: Update inaccurate information
- Export: Receive a copy of your data
- Deletion: Request deletion (subject to legal retention requirements)
11. COPPA Compliance
Pruvelo complies with the Children's Online Privacy Protection Act (COPPA). We only collect personal information from children under 13 with verifiable parental consent. Parents can review, delete, or refuse further collection of their child's information.
12. FERPA Compliance
For childcare centers participating in state or federal programs, we comply with the Family Educational Rights and Privacy Act (FERPA) regarding education records.
