Terms of Service

1. Acceptance of Terms

By accessing or using Pruvelo's childcare management platform, you agree to be bound by these Terms of Service. If you do not agree, do not use the service. These terms apply to all childcare centers, directors, staff members, and parents using the platform.

2. Service Description

Pruvelo provides a cloud-based platform for childcare centers to manage operations including:

  • Child enrollment and family management
  • Staff scheduling and time tracking
  • Attendance and ratio monitoring
  • Incident reporting and documentation
  • Parent communication and messaging
  • Subscription management for the Pruvelo platform (via Stripe)
  • Compliance reporting and audit trails
  • Operational modules (e.g., medication logs, safety/sanitation logs, meals, pickup events) where enabled
  • Inspection-mode UI and export readiness indicators for director workflows

Pruvelo provides operational records and export tools. It does not certify regulatory compliance, guarantee inspection outcomes, or replace on-site verification required by your licensing agency.

3. Account Responsibilities

3.1 Childcare Centers

  • Maintain accurate and up-to-date information about children, staff, and families
  • Ensure all users have appropriate permissions and training
  • Comply with all applicable state and local childcare regulations
  • Obtain necessary consents from parents for data collection and photo sharing

3.2 Users

  • Keep login credentials secure and confidential
  • Use the platform only for authorized purposes
  • Report any unauthorized access or security issues immediately
  • Do not share access with unauthorized individuals

4. Data and Privacy

All data is handled in accordance with our Privacy Policy. Childcare centers retain ownership of their data. Pruvelo acts as a data processor and implements appropriate technical and organizational measures to protect personal information.

5. Compliance Obligations

Childcare centers using Pruvelo are responsible for:

  • Maintaining state licensing compliance
  • Ensuring staff-to-child ratios meet regulatory requirements
  • Keeping required records (attendance, incidents, drills)
  • Reporting child abuse or neglect as required by law
  • Following safe sleep and other safety protocols

Pruvelo provides tools to support compliance but does not guarantee compliance or inspection results. Centers remain solely responsible for meeting all legal obligations, staffing on site, and accuracy of records they submit to regulators.

6. Exports and Inspection Mode

Compliance and incident PDF exports include center metadata (e.g., license number when configured, export timestamp, verification stamp) as operational records. Export readiness indicators highlight missing prerequisites (such as license configuration) but do not constitute legal approval to operate. Inspection mode is a UI presentation aid — not a regulatory certification.

7. Subscription and Payment

  • Access to Pruvelo requires an active platform subscription or approved lifetime offer
  • Subscription billing is per licensed center (not per seat) via Stripe
  • Published pricing is available at /pricing; founding lifetime terms at /lifetime
  • Subscriptions auto-renew unless canceled in accordance with Stripe settings
  • Pruvelo does not process family tuition or center-owned billing to parents through the app

8. Data Security

Pruvelo implements industry-standard security measures including encryption, access controls, and regular backups. However, no system is 100% secure. Users must maintain secure passwords and report suspicious activity.

9. Termination

Either party may terminate the service with notice. Upon termination, data will be retained as required by law and then securely deleted. Export your data before cancellation if needed.

10. Limitation of Liability

Pruvelo is not liable for indirect, incidental, or consequential damages. Our total liability is limited to the amount paid for services in the 12 months preceding the claim. We are not responsible for compliance violations by childcare centers.

11. Changes to Terms

We may update these terms from time to time. We will notify users of significant changes. Continued use after changes constitutes acceptance of the updated terms.
